All applications submitted more than 45 days prior to the scheduled start of the ride must include a non-refundable deposit as specified for the tour. Once the deposit has been paid the balance due can be paid in installments or in one sum. Balance of tour fees must be paid in full before 45 days prior to the scheduled start of the ride or the booking will be considered "voluntarily canceled by the guest" and subject to our standard cancellation penalties.
Applications submitted less than 45 days prior to the scheduled start of the ride must submit payment in full, plus any applicable additional fees such as single supplement, etc.
Private dates and group bookings in some destinations may require a higher deposit than shown on the tour's webpage and the balance due date maybe sooner (60 or 90 days prior to departure). This will be specified in booking details when you request a private date or group booking.
Payment can be made via ACH or bank wire. Prices listed on the website and in printed tour literature are in US Dollars (unless otherwise noted on the tour page).
Discounts posted on the website are valid only for bookings received while the discount is displayed on the website. Discounts offered via email or our newsletter are valid only for the time period specified in that offer. Discounts will not be honored retroactively. Discounts are only valid on new bookings and will not be applied to existing bookings. Discounts can not be combined, only one discount will be applied to a booking.
After you sign up
Once we have processed and accepted your application, you will receive a confirmation notice by email. This confirmation email will contain essential details such as your booking ID, which you need in conjunction with your passphrase to complete the guest questionnaire. The email will also reiterate your flight requirements and provide links to our Guest Questionnaire which must be completed at least 45 days prior to the tour (failure to do so will be considered a voluntary cancellation on your part). We will also send a Guest Information Handbook in both PDF and ePUB format for your planning. We strongly recommend reading through everything in the handbook. Please note that in respect for our environment, we do not print a paper handbook and prefer to present this information digitally. If you do not have access to a computer, tablet or phone please let us know.
Pedalers Peace of Mind change policy
Pedalers no longer charges any fees for transferring your booking and monies paid to a new departure date or to a different tour package.
To change dates or tours, please contact us in writing, either by email or old fashion postal mail, with your request. As a means of verification, we request that your change notification include: your name, original tourcode & booking ID and the names of others on your booking. Your booking will be updated and an email with your new tourcodes and booking ids will be sent.
If you find you need to change again, the same policy and no fee option will apply.
Please note: This flexible change policy does require that you make the change of dates at least 30 days prior to your trip's departure date.
Notice of cancellation must be made in writing via email or postal mail. The Date of Cancellation will be the day we receive your written notice of cancellation. Cancellations by phone will not be considered as valid notice.
Cancellations received before 45 days prior to the scheduled start of the ride will forfeit the deposits paid. Any monies paid in excess of the deposit will be refunded.
Cancellations received less than 45 days prior to the scheduled start of the ride will forfeit all payments made. No refunds will be made.
Please note, for folks who change their tour booking to a new date, the 45 day prior to departure mark will be the earlier of 45 days prior to the departure of your originally booked tour or 45 days prior to the departure of your revised booking.
Private dates and group bookings which were subject to a different due date (60 or 90 days prior) will have that same time frame used for cancellation penalties, ie 60 days prior not 45 days prior.
Our cancellation policy is strictly enforced with no exceptions including medical and family emergencies, deaths in the family, weather or civil unrest. Please note:
- There is no refund for arriving late or leaving a trip early.
- Single supplements are considered part of the trip price and are subject to the cancellation penalties.
- Pedalers reserves the right to make route and accommodation modifications as needed.
- On the rare occasion when Pedalers voluntarily cancels a trip, all payments received to date will be refunded, which constitutes full settlement.
- Pedalers is not responsible for expenses incurred in preparation for any canceled trips, such as airline tickets, or for costs incurred due to travel delays, flight cancellation or illness.
- Guests who fail to complete the Guest Questionnaire prior to trip departure will not be allowed to join the trip and will be subject to Pedalers standard cancellation policy as described above.
- We strongly recommend the purchase of trip cancellation insurance to cover non-refundable items in the event situations force you to cancel your travel plans.
In the event that a tour is unable to operate as scheduled due to reasons beyond the control of Pedalers, including but not limited to: border closures, government imposed travel restrictions, extreme weather, natural disaster, war, acts of terrorism, all tour payments made will be converted to a credit that can be applied to a future date of the same tour or transferred to a different tour within two years of the booking interruption.
Release of Liability
As a condition of participation, each guest must agree to the terms listed in our Release of Liability. Guests who were signed up by another can confirm their agreement to these terms through the guest questionnaire. Failure to agree to the terms listed in the Release of Liability will be considered a voluntary cancellation on your part of your booking with no refund available.
As a condition of participation, each guest must complete their Guest Questionnaire, as it provides vital and necessary information for the operation of the tour and the safety of our guests. Failure to complete the Guest Questionnaire at least 30 days prior to the tour's starting date will be considered a voluntary cancellation on your part of your booking with no refund available.

Youth on Tours
Youths from age 16 on up are welcome on our scheduled tours. Children under the age of 16 will be considered on a case by case basis. If a family with younger children wishes to join a date, we will contact guests already registered on that date and with their OK, will accept the family's booking. Youths must share a room with a family member or have a private room (single supplement applies).
Children from age 8 on up are welcome on family friendly, private or custom tour. We feel that this is the minimum safe age for the activities during the trips. But please be aware, our sag driver can not function as a child sitter, one parent must accompany children under the age of 12 when they are riding in the sag wagon.
Guests are responsible for: choosing a trip that suits their abilities, level of fitness and state of health; obtaining the necessary travel documents and visas for their destination(s); arriving at the trip start with the clothing and gear recommended in the Guest Information, and if bringing your own a bicycle that it is suitable / suitably maintained for the ride; respecting the laws and customs of regions visited; following environmental guidelines and regulations while on the trip in accordance with leader directions; and respecting the rights and privacy of other trip members. Pedalers reserves the right to refuse service to anyone at any time prior to or during the trip if, in Pedalers' opinion, an individual's behavior or physical condition is not compatible with the general enjoyment and well-being of other trip members.
Pedalers Limitations of Liability
Pedalers is not liable for bodily injury or property damage as a result of (but not limited to): physical exertion for which a guest is not prepared; forces of nature; travel by plane, train, auto, boat or other conveyance, or by bicycle, kayak, horseback, foot or other form of active or adventure travel; consumption of alcoholic beverages; civil unrest; terrorism; breakdown of equipment; high altitude; lack of or limited access to medical attention in remote locations; and the adequacy of medical attention once provided. Pedalers is also not liable for expenses (e.g., meals, transportation or hotel costs) not specified as included in the trip cost but which may be required to get to or from a trip start or end. Pedalers reserves the right to make route and accommodation modifications as necessary to improve the trip's quality or to accommodate the comfort and well-being of guests.
Use of Images
Guests grant Pedalers express permission to take photographs, make film or other media records of its trips for promotional and commercial use, as well as approving such use by third parties with whom Pedalers may engage in joint marketing, without financial remuneration.
Pedalers respects our customer's right to privacy. The personal information gathered from our website and from any printed applications or questionnaires is used solely by Pedalers for the registration on, operation of and marketing of our tours. Some personal information, such as addresses, maybe exchanged with banking institutions while processing your payment. Pedalers does not provide any customer information to any outside parties for marketing or any other non-transactional purposes.
This right to privacy extends to our referral policy. Pedalers does not share your contact info with prospective customers, unless you have specifically told us you wish to be a referral. No one from Pedalers will contact you about this, guests must submit their wish to serve as a referral of their own volition.
